On and Off Campus Elective Registration


Students are required to complete a minimum of 20 weeks of elective courses during their senior year at Einstein, in addition to the required Sub-Internship, Ambulatory and Neurology experiences.  Students may complete this requirement by participating in electives that are offered at one of our affiliates or by applying to other institutions (Host School) as a visiting student.  All electives MUST be four weeks in duration; electives less than four weeks need special approval from the Deans for Students.

It is the student’s responsibility to ensure that the Evaluation of Clinical Performance and Professional Attributes is submitted to the Office of Registrar for each elective completed off campus within 4 weeks of completion. The Evaluation of Clinical Performance and Professional Attributes for each of the electives completed at Einstein will be the responsibility of the Office of the Registrar.

On Campus Electives
Einstein students have access to a wide variety of established electives that are offered at one of our affiliated sites to explore career choices. Students also have the ability to set up elective time that is personalized to meet academic and career goals.

Einstein Electives (MY YU)
Students MUST web-register for Einstein electives in MY YU up to 4 weeks prior to the start of the elective.  Students register for electives on a space available basis and if you no longer wish to participate in an elective you must drop the course via MYYU no less than 4 week prior to the start of the elective rotation. If for some reason you have not registered for an elective during a rotation block starting in less than 4 weeks you MUST contact the Registrar’s Office immediately as you will need to do a manual registration process.

Before you web-register for Einstein electives it is recommended that you review the course description for any specific requirements, Course Director’s contact information, and where to report on the first day of the elective.

MY YU Registration: 

  1. Go to MY YU  
  2. Click on “Faculty, Student and Staff”
  3. Enter User ID and PIN.  Click on “Login” on bottom of the page.  If you have forgotten your PIN or if you need to reset your PIN click on the specific button on bottom of the page
  4. Click on “Student and Financial Aid”
  5. Click on “Registration”
  6. Select Term from list.  Always select the Fall Term (i.e. you plan to graduate May 2019 you will select Fall 2018) and click on “Submit” 
  7. Select “Add or Drop Classes”
  8. The “Add and Drop Classes” screen will show what courses you are registered for.  Scroll to the bottom of the screen and click on “Class Search”.
  9. On the Look Up screen MD students will need to select the following to view courses that are offered and then click on “Class Search”:
  10. SUBJECT (Choose a course subject for example: Emergency Medicine)
  11. Campus/College: (must choose AECOM 4TH Year Electives)
  12. Select the box in front of the CRN and choose Register or Add to Worksheet.  Pay particular attention to the following columns:
  13. Sec: 4th Year Rotation block
  14. Cap: The maximum number of students that can register for the elective
  15. Act:  The actual number of students that are registered for the elective
  16. Rem: The remaining number of spots available for registration
  17.  "C" identifies a closed class

Special Elective

Students wanting to set up a clinical or other scholarly-related elective with an Einstein faculty member must submit a Special Elective Form to the Office of the Registrar for approval.  Special Electives are electives that are not offered through the MY YU registration system, including manual registration for ISP, research, "reading elective" and/or other scholarly/clinical activities.  Final approval of Special Electives will be granted only when completed forms have been submitted. All Special Electives must be four weeks in duration and can be split to fill in dates around external electives.  Special Electives less than four weeks must be approved by the Deans for Students.

Please submit:

  • Special Elective Form 
  • An abstract of 100-200 words describing the project you will be working on, how you plan on using your time, the frequency with which you will be meeting/observed by your faculty preceptor, and list three learning objectives
  • Einstein Faculty signature of approval
  • Please note, students completing a reading elective must submit a summary of the project related to the topic and must be reviewed by the Faculty Mentor.  A final summarization of the project will be uploaded to a designed area on Canvas.
    • In Canvas, go to Courses and select “Reading Elective” 

    • To upload a file, please go to "Assignments" (see left hand options)

    • Go into the "Assignment" called "Reading Electives 2017-2018" 

    • To upload the file, click on Submit Assignment

You will need to ensure that the  Evaluation of Clinical Performance and Professional Attributes is returned to the Office of the Registrar no more than 4 weeks from the completion of the special elective. ISP electives and Research Fellowship electives do not require an evaluation.


Off Campus Electives
For students looking to apply for an elective as a visiting student, we recommend that you review each program’s website well in advance of your planned participation as each school has specific application processes and deadlines.

All external electives MUST be four weeks in duration; electives less than four weeks must be approved by the Deans for Students.  Final approval of external electives will be granted only when completed forms have been submitted.  Final registration of an external elective will be completed once the student provides an official acceptance notification from the Host Medical School to the Office of the Registrar.

Please be aware that most Host Schools require their own Health/Immunization form to be completed.  You will need to have Occupational Health (located at 219H Block Building) or your personal physician to complete the health form.  Occupational Health is able to provide your Immunization records only to you, as that is private and confidential information.

Some Host Schools may require a criminal background check, some may require that they be completed within the past 12 months, or some schools may require specialized background checks based on the type of elective you are applying for.  Please contact the Registrar’s Office for assistance.

Students will receive a message from the AAMC Visiting Student Application Service (VSAS) regarding login and password instructions. We recommend that you frequently view the VSAS website for step-by-step online tutorials and other helpful resources such as the Student Handout, Quick Start Guide, Document Upload Guide, and a Power Point presentation of the Student Software.

Once you have completed your profile and submitted a VSAS online application, the Registrar’s Office will be notified that a pending VSAS application needs to be verified and/or released. Once the Registrar’s Office receives the required documents for approval, your transcript will be uploaded, your information will be verified, and your application will be released to the Host School.  The Host School will notify you via email of their decision.  If you are unable to upload or convert any of your documents into a PDF file, the Registrar’s Office is able to do this for you.

In addition to submitting the VSAS online application, students will need to submit the following documents to the Registrar’s Office for approval, BEFORE verifying and releasing the application to the Host School: 

  1. The Personalized Career Plan for External Elective Form for EACH elective you are applying for 
  2. Course descriptions for each Elective

Once you have accepted the external elective, please forward/send a copy of your acceptance for registration.  You will need to ensure that the  Evaluation of Clinical Performance and Professional Attributes is returned to the Office of the Registrar no more than 4 weeks from completion of the external elective.

Paper Applications
Some Host Schools do not participate in the VSAS application system and require students to submit a paper application or have their own online application system.  Typically, paper applications require additional supporting documents, official school signatures and school seal of approval.

Students will need to obtain approval from the Office of the Registrar and the Office of Student Affairs BEFORE the paper application is sent to the Host School. The Registrar office can mail out your application packet for you or can contact you once it is completed and ready to be picked-up.

Please submit the following:

  1. The Personalized Career Plan for External Elective Form for EACH elective you are applying for 
  2. Course descriptions for each Elective
  3. Paper Application
  4. Other required supporting documentation.
