Where can I get Work Order Forms? And to whom should they be sent?
The Engineering Work Order form is described in Accessing Services and can be completed on-line and then printed, copied and sent to the Engineering Office, Room B-60, Forchheimer. Departments can also submit a request for web access to our work order system Micromain by contacting Susan Policastri at Susan.Policastri@einstein.yu.edu. This allows for electronic requests for work and provides the initiator the ability to follow work request status.

Who should sign a work order?
The Principal Investigator (PI) or Administrator with authority to approve use of your funding.

How long will it take for work requested on an Engineering Work Order to be performed?
Routine work orders will be completed in less than 2 weeks unless parts must be ordered.

Construction projects are scheduled over the course of the fiscal year based upon their scope of work and priorities set by the Office of the Dean.  Newer requests will be scheduled upon receipt of approval and prioritization by the Office of the Dean.

When is funding necessary?
All work orders should include a funding source. Occasionally a request will involve work considered as "maintenance". In such cases the funding source will not be charged.

Can I receive an estimate of costs for a job?
Yes, simply state your request for an estimate on the Engineering Work Order form.

How can I investigate the status of my work order?
You will receive a confirming copy of your work order after it has been approved. The confirmation will include an 8–digit job number (ie. 2000-2763) and the name of the manager assigned. You may call the project manager directly with your project number for job status.

How are charges applied to my authorized account?
Engineering will send the Finance Department an intercharge bill reflecting actual material and labor costs to be deducted from your designated account. This will appear on your general ledger. You will also receive a confirming copy of the initial bill from Engineering.

What is the average time it takes for a work order to be assigned a number and a confirmation returned?
Routine requests received electronically will appear on the Micromain system within 48 hours and non-web requests will be confirmed by interoffice mail within 5 days of receipt in Engineering.

Non-routine requests (renovations, or those requiring investigation of scope by Engineering), will take longer.

Dial 3000. This line is staffed 24 hrs/day, 7 days/week.

How can I get additional electrical outlets?
These would be requested by submitting an Engineering Work Order to the Engineering Office, Room B-60, Forchheimer.

How can I request or update a sign?
For Building directories or Room Signs in corridors, you may use either the Engineering Work Order (along with the Data Fabrication of Sign Form) or you can use the web-based Micromain Work Order system described above.

  • For all requests please specify:
    • Room number or Directory location
    • Old information to be removed or updated
    • New information; using format to match existing signs in area

How do I get a new bulletin board for my area?
You purchase it directly via the Procurement Department and submit an Engineering Work Order form requesting installation.

How can I get copies of floor plans or renovation drawings?
Square footage drawings of departmental space are available from the Assistant Director of Facilities Planning. Request should be made in writing to Cecilia Haas, cecilia.haas@einstein.yu.eduBack to top 

 

How do I dispose of my old refrigerator?
Submit an Engineering Work Order form to have the freon removed. Then contact Housekeeping at extension 2352 to have the refrigerator moved to trash.

How do I request computer cabling?
All such requests must be submitted to ITS (Information Techology Services) who coordinate these projects and have technical expertise in specifying exactly what is needed. They will in turn submit a request to Engineering on your behalf.

Who do I call if I need batteries?
Batteries are considered a "consumable" item. These are not provided by the Engineering Department. Direct purchase can be arranged through the Procurement Department at extension 3001.

Who will move my furniture?
The Housekeeping Department handles all furniture moves. Call extension 2352.

Who assembles my new furniture?
To the extent possible all furniture purchased directly by a department via the Procurement Department should include on-site assembly and removal of packing materials by the vendor. If not, submit an Engineering Work Order.
